COVID-19 HEALTH AND SAFETY
The Centers for Disease Control and Prevention has classified COVID-19 as a highly contagious disease that can be transmitted asymptomatically and can lead to severe illness and death. The National Society of Black Engineers (NSBE) cannot prevent the spread of COVID-19 or other infectious illnesses at its conferences or the facilities where NSBE events are held. As a partner, your organization is responsible for ensuring that all registered staff adheres to the following requirements and code of conduct.
Note: Vaccine and negative COVID test protocols are subject to change
- All domestic attendees must provide proof that they are fully vaccinated and provide a negative COVID-19 test result within 72 hours prior to travel.
- All international attendees must provide proof that they are fully vaccinated and provide a negative COVID-19 test result within 24 hours prior to travel.
- Facial coverings must be worn throughout the convention events.
- Social distancing must be observed with a minimum of six feet of separation between attendees.
Fully Vaccinated Status
Individuals are considered fully vaccinated against COVID-19:
- Two weeks after receiving their second dose in a two-dose series, such as the Pfizer or Moderna vaccines OR
- Two weeks after receiving a single-dose vaccine, such as Johnson & Johnson’s vaccine
If you do not meet either of these requirements, you are not fully vaccinated.
NSBE has taken health and safety measures — for attendees, exhibitors and staff attending NSBE’s 49th Annual Convention (#NSBE49). You must follow all posted instructions while attending #NSBE49. An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. I acknowledge that participation in #NSBE49 brings some risk, and I do hereby assume responsibility for my own well-being. I will follow all Centers for Disease Control and Prevention (CDC) guidance, and all posted instructions, while attending NSBE events and activities. I understand, agree and hereby consent that my failure or disregard to follow all protocols in effect and required by NSBE, CDC, the venue provider and state and local law during my attendance at #NSBE49 is hereby sufficient grounds to be excluded from attending the event by NSBE or an event authority, and I hereby consent in advance to leave and exit the event, without protest or refund, upon request by NSBE or an event authority due to my refusal to follow said protocols.
Assumption of Risk
I have read and understood the above warning concerning COVID-19. I hereby choose to accept the risk of contracting COVID-19 for myself in order to attend the #NSBE49 conference and enter the conference premises.
Waiver, Release and Indemnification
As a condition of my attendance and/or participation in this meeting or event, I expressly waive any rights against and release and hold harmless NSBE and any of its officers, directors, employees, members, volunteers, representatives, contractors, agents, legal successors, and assigns (collectively “NSBE Releasees”) from and against any and all claims, suits, demands, losses, damages, expenses, or liability of whatever kind or nature (collectively “liability”), under any theory of law or equity, that may arise during or as a result of my presence at the #NSBE49 conference, including but not limited to any such liability related to or arising out of illness, injury, or death associated with infection of COVID-19 or complications, symptoms, or other effects resulting from contracting COVID-19. I will defend, indemnify, and hold harmless NSBE Releasees against any and all losses, damages, liabilities, deficiencies, claims, actions, judgments, settlements, interest, awards, penalties, fines, costs, or expenses of whatever kind, including attorneys’ fees, fees and the costs of enforcing any right to indemnification under this agreement, and the cost of pursuing any insurance providers, arising out of or resulting from any claim of a third party related to the Activities.
BY ATTENDING THE #NSBE49 CONFERENCE, I ATTEST THAT I HAVE CAREFULLY READ AND FULLY UNDERSTAND ALL PROVISIONS OF THIS RELEASE AND FREELY AND KNOWINGLY ASSUME THE RISK AND WAIVE MY RIGHTS CONCERNING LIABILITY AS DESCRIBED ABOVE.
NSBE CODE OF CONDUCT
NSBE is committed to providing a safe, productive and welcoming environment for all event participants and NSBE staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NSBE staff members, service providers and all others are expected to abide by this NSBE Code of Conduct during the COVID-19 pandemic. This Policy applies to all NSBE meeting-related events, including those sponsored by organizations other than NSBE but held in conjunction with NSBE events, on public or private locations.
Participants are expected to adhere to the NSBE dress code with any visual representation of themselves. NSBE productions are for NSBE members and parties registered for the event only. Any recording of any kind and/ or rebroadcast of this event without the express written consent of the National Society of Black Engineers is strictly prohibited and punishable by law. This production is the copyright of NSBE. We ask that you please honor this.
NSBE has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our events. For participants of an NSBE meeting or event, COVID-19 protocols have been set in place to allow safety for our staff and members. If you experience harassment or hear of any incidents of unacceptable behavior, please contact the NSBE Standards and Ethics Committee (SEC) via email at firstname.lastname@example.org, so that we can take the appropriate action.
PAYMENT, CANCELLATION AND REFUND POLICY
ALL payments must be received no later than March 1, 2023. Invoices that remain unpaid after March 1, 2023 will be subject to having their associated sponsorship forfeited. Any outstanding invoice(s) after this date will prohibit entrance to the career fair and/or college fair/graduate school fair floor(s). If your payment cannot be made by this date, please contact the office ASAP as authorization to enter the career fair floor will be subject to approval by the accounting department.
Additional items purchased after March 1, 2023 are due upon receipt and will require a credit card payment only. NOTE: No other form of payment will be honored after this date (with the exception of forms mailed in along with a check with prior approval).
There will be no invoicing after March 1, 2023.
- A 10% late fee will be assessed on all payments made after March 1, 2023.
- A 25% cancellation fee will be applied for any sponsorship cancellations after January 3, 2023. This includes paid and unpaid invoices.
- There will be no refunds after January 31, 2023.
- Certain sponsored events/items will require advance payment prior to January 3, 2023.
